The fund was first administered by the Office of the Assistant Secretary for the Arts and Humanities, 1992-1994, and by the Assistant Provost for the Arts and Humanities, 1994-1996, before the Office of the Provost (OP) assumed this responsibility in 1996. Joan Zavala, OP Program Administrator, served as fund manager that year. The records primarily consist of memoranda pertaining to SEF funding awards, and budgetary information.

This accession consists of records that document the Special Exhibition Fund (SEF) that distributes grants for significant exhibitions at the Smithsonian. These records date back to when SEF was first established by the Board of Regents and later administered by the offices of the Assistant Secretary for Museums, 1986-1992, the Assistant Secretary for the Arts and Humanities, 1992-1994, and the Assistant Provost for the Arts and Humanities, 1994-1996. When the Office of the Provost was established in 1995, these records were transferred to that office and maintained by Barbara Schneider, who had served as SEF Program Manager under the Assistant Secretary for the Arts and Humanities and the Assistant Provost. The following year, in 1996, the Provost assumed responsibility for administering the fund, with Schneider serving as Executive Assistant for the Program. The records consist of correspondence and memoranda pertaining to awards, rejections, and budgetary matters. Also included are SEF proposals, program guidelines, funding reports, award schedules, material documenting the annual Smithsonian Exhibition Award Ceremony, and SEF Committee information.
